A process owner is the person accountable for a defined process’s performance and authorized to approve changes within its boundaries, including improvements developed through DMAIC.
For an invoice-exception process, ownership needs a clear boundary. An accounts-payable manager may own exception handling from detection to resolution, while changes to purchasing approvals require agreement from another manager. The project charter records that boundary and identifies who can authorize a pilot. Assigning ownership without matching decision authority leaves the improvement team dependent on unresolved approvals.
During a DMAIC project, the process owner agrees the improvement target after reviewing baseline performance. Before a pilot begins, the owner approves the test scope and stop condition. A proposed routing change, for example, may shorten invoice resolution time while adding work for purchasing. The owner needs agreement from the affected manager before that workload becomes part of the revised process.
The role differs from a project sponsor, who secures organizational support and resolves escalated barriers. One person may hold both roles on a small project. The project leader coordinates the investigation; the process owner retains accountability after closure. The control plan translates that accountability into operating responsibilities, such as reviewing overdue exceptions weekly and initiating a defined response when performance deteriorates. Handover includes confirming that the receiving owner can reproduce the measure from invoice records.
